How to create a professional email address on your own domain: the building blocks, choosing a plan, creating the mailbox, MX, SPF, DKIM and DMARC records, connecting over IMAP and what free options are worth.

Writing to a client from a gmail.com or hotmail.com address is fine for an individual, much less so for a business. To create a professional email address like contact@yourcompany.com, you need three building blocks: a domain name, an email service and a few DNS settings. This guide walks through the steps in order, from choosing the domain to the first sign-in on your phone, the records to set up so you do not end up in spam, and what so-called free options are really worth.

In short

  • A professional email address uses your own domain name (name@yourcompany.com) instead of a consumer email domain.
  • You need three building blocks: a domain name, an email service (a dedicated email plan or one included with hosting) and DNS records.
  • The steps: choose the domain, choose the plan, create the mailboxes, set up MX, SPF, DKIM and DMARC, then connect your devices over IMAP.
  • SPF, DKIM and DMARC are not optional: Gmail requires them from senders, otherwise your messages may be rejected or sent to spam.
  • A "free" option rarely comes without a catch: a paid domain, a trial or a mailbox bundled with hosting.

What is a professional email address?

A professional email address ends with your company's domain name, such as contact@yourcompany.com, rather than a consumer service's domain. It belongs to you as long as you renew the domain, whichever email provider you use.

What it brings you:

  • credibility: the recipient recognizes the company from the sender line;
  • continuity: you can change providers without changing addresses;
  • control: you create and delete your employees' mailboxes, and keep their messages when they leave;
  • security: SPF, DKIM and DMARC protect your domain against spoofing.

What do you need to create a professional email address?

You need a domain name, a service that hosts the mailboxes, and access to the domain's DNS zone to declare that service. Nothing more: no server to install and no advanced technical skills.

Building blockWhat it doesWhere to get it
Domain nameThe part after the @A registrar
Email serviceStores, sends and receives emailDedicated email plan, office suite or web hosting
DNS zoneTells the world where to deliver your email (MX) and who may send (SPF, DKIM)At the registrar or DNS host
DevicesRead and write your emailWebmail, Outlook, Thunderbird, mobile app

If you already have a website, you probably already have the domain: you just add email to it.

How do you choose the domain name and address format?

Choose a short domain that matches or closely follows your company name, and a consistent address format for the whole team, such as firstname.lastname@ or firstname@. This choice lasts: changing domains later means notifying all your contacts.

  • Extension: .com for an international audience, a country code such as .fr for a local one; check availability with our guide to checking domain name availability.
  • Personal addresses: firstname.lastname@ for one-to-one exchanges with clients.
  • Role addresses: contact@, invoices@, support@, so that messages outlive staff changes.
  • Aliases: a second address that lands in the same mailbox, with no extra mailbox cost at most providers.

To choose and protect the domain itself, see our domain name guide. Wayhost domain names include full DNS management for A, MX, CNAME and TXT records, plus email forwarding (checked on October 29, 2026).

Which email plan should you choose?

A mailbox included with web hosting is enough for a freelancer or a brochure site; a dedicated email plan is better as soon as email becomes a daily work tool for a team. The key criteria are space per mailbox, security and support.

Mailbox included with web hostingFreelancer, brochure siteAlready paid with the site, one dashboardSpace and features often limited

At Wayhost, professional email advertises AES-256 encryption, activation in minutes and HDS, ISO 27001 and GDPR standards, and web hosting lets you create mailboxes on your domain with webmail, anti-spam and IMAP/POP3 (checked on October 29, 2026).

How do you create the mailbox, step by step?

Link your domain to the email plan, create the mailbox in the provider's control panel, then publish the DNS records it gives you. Creating the mailbox takes a few minutes; the DNS setup is what needs care.

  1. Sign up for the email plan and enter the domain to use.
  2. Verify domain ownership if the provider asks (TXT verification record).
  3. Create the mailbox: account name (firstname.lastname), allocated space, a long and unique password.
  4. Turn on two-factor authentication if it is available.
  5. Publish the DNS records (MX, SPF, DKIM, DMARC) given by the provider, see the next section.
  6. Send a first message from webmail to an external address, and reply to it to test reception.

Pro tip: before switching the MX records of a domain that already receives email elsewhere, create every mailbox at the new provider and import the history. That way you lose no messages during the switch.

Which DNS records do you need so that email gets delivered?

At a minimum you need an MX record to receive, SPF and a DKIM signature to prove you are the real sender, and a DMARC policy to say what to do with suspicious messages. Without them, your email still goes out, but it lands in spam more and more often.

RecordDNS typeRoleStandard
MXMXNames the server that receives mail for the domainRFC 5321
SPFTXTLists the servers allowed to send for the domainRFC 7208
DKIMTXT or CNAMEPublishes the public key that signs your messagesRFC 6376
DMARCTXT (_dmarc)Sets the policy when SPF/DKIM fail and requests reportsRFC 7489
  • SPF is defined by RFC 7208: one SPF record per domain, covering all your sending services.
  • DKIM is described in RFC 6376: the provider generates the key and you publish it; our DKIM and SPF guide explains the process.
  • DMARC is described in RFC 7489: start with p=none to observe, then tighten.
  • Gmail requires SPF or DKIM from every sender, and all three mechanisms from bulk senders, according to its official email sender guidelines.

How do you connect the address to your phone and email client?

Add an IMAP account in your app with the full address and password, using the incoming and outgoing servers given by the provider. IMAP syncs folders across all your devices, unlike POP3, which downloads messages to a single one.

IETF RFC 8314 recommends connections that are encrypted from the start, on the following ports:

UseProtocolRecommended encrypted port
ReceivingIMAP993
Receiving (single device)POP3995
SendingSMTP (submission)465
  • Username: the full email address, not just the first name.
  • On iPhone: Settings, Mail, Accounts, Add Account, Other.
  • On Android: the Gmail or Outlook app lets you add an "Other" IMAP account.
  • On a computer: Outlook or Thunderbird often detect the settings automatically.

Can you create a professional email address for free?

A truly free and lasting professional address is rare, because the domain name itself is paid every year; "free" offers usually rely on a domain included for the first year, a mailbox bundled with hosting, or a trial period. So compare the renewal cost, not just the entry price.

The most common cases:

  • a mailbox included with web hosting: it costs nothing beyond the site, but depends on it;
  • a domain included for the first year with hosting: it is then billed at the renewal rate;
  • simple forwarding: contact@yourdomain.com forwarded to a personal mailbox, handy for receiving, but replies then go out from the personal address;
  • trial offers from collaboration suites, paid once the period ends.

How do you check that everything works?

Send a message to an external Gmail or Outlook mailbox, open the full header and check that SPF, DKIM and DMARC show "pass". Test reception in the other direction too.

  • In Gmail: message menu, "Show original", then read the SPF, DKIM and DMARC lines.
  • From the command line: dig +short MX yourdomain.com and dig +short TXT _dmarc.yourdomain.com show what is published.
  • DMARC reports sent to the address in your record flag unauthenticated sending.
  • If spam problems persist, check that only one SPF record exists and that no sending service (newsletter, CRM, website form) is missing from it.

Frequently asked questions

How do you create a professional email address?

You need a domain name, an email plan and access to the DNS zone. Create the mailbox in the provider's control panel, then publish the MX, SPF, DKIM and DMARC records it gives you. Finally, connect the address to your devices over IMAP.

Do you need a domain name for a professional email address?

Yes, the domain name forms the part after the @. Without a domain of your own, the address depends on a consumer service. The domain is renewed every year with a registrar.

Can you create a professional email address for free?

Rarely in a lasting way, because the domain name is paid. Free offers rely on a domain included for the first year, a mailbox bundled with hosting or a trial period. Always compare the renewal price.

How long does it take to create a professional email address?

Creating the mailbox takes a few minutes. DNS records take effect according to their cache duration, usually from a few minutes to a few hours. Test sending and receiving before you announce the address.

Can you keep your address when changing providers?

Yes, if you own the domain name. Create the mailboxes at the new provider, import the old messages, then change the MX records. The address does not change for your contacts.

What is the difference between an address and an alias?

An address has its own mailbox and its own password. An alias is a second name that delivers messages into an existing mailbox. Aliases are handy for contact@ or invoices@ without adding mailboxes.

Why does my professional email land in spam?

Most often, SPF, DKIM or DMARC are missing or misconfigured. Gmail requires these mechanisms from senders, according to its official guidelines. Check the header of a sent message and fix the record that fails.

Can you use a professional address in Gmail or Outlook?

Yes, these apps accept an external IMAP account. Add the address with the provider's incoming and outgoing servers. You keep your professional address while using the interface you prefer.

Key takeaways

  • A professional address relies on your domain: it follows you from one provider to the next.
  • Three building blocks are enough: a domain name, an email plan and access to the DNS zone.
  • MX, SPF, DKIM and DMARC determine whether your email is received and delivered.
  • Encrypted IMAP syncs the address across all your devices.
  • "Free" is judged at renewal: a domain, a bundled mailbox or a trial always comes with a catch.
